TITLE: PREPARATION OF CATALOGUE DATA and RELEASE OF NEW DEPOSITS INTO THE PUBLIC COLLECTION


INTRODUCTION 

This document describes the basic procedure to be followed upon preparation of the catalogue data and release of a new plasmid into the public collection.

 PROCEDURE 

  1. In the case the minimal information about the plasmid was already computerized according to PP/1998/02/01, paragraph 6, the existing database record is completed with all the available information supplied by the depositor and/or taken from the literature; in the other case, a database record is created and completed. 

It is recommended to computerize the data based on the PVT format (Vicente et al. 1992. World Journal of Microbiology and Biotechnology 8, 519-526). 

  1. Following proof reading by the curator, a hard copy of the catalogue data is submitted to the depositor for confirmation, together with a letter of acknowledgement of acceptance of the deposited material, informing the depositor on the accession number of the plasmid. In addition, a subculture is forwarded to the depositor requesting him to check the authenticity of the preserved material and return a confirmation to the collection (PP/1998/03/03). 
  1. Final approval of the catalogue entry is made by the curator. 
  1. A daily backup of the plasmid database is made. 
  1. The plasmid is released into the public collection for distribution. 
  1. The new catalogue entry is included in the next edition of the collection’s catalogue.
